Our client is a dynamic, fast-growing family office led by its two principals, who are recognized Canadian business leaders with a passion for technology, retail, and media with multiple homes and businesses. They currently seek an Personal Assistant to work closely with them to manage their business and personal lives. You will work from your home office primarily, but must be available to work from their home office in High Park, and be available for running errands and meeting with vendors and contractors in Forest Hill. You must also be available to travel to NYC when needed. It would probably be a best case scenario if the successful incumbent lived in Central Toronto.This role reports to the family office President, working alongside the Chief of Staff, house staff, heads from its operating business, and managers from its external partners and vendors.
- Self-directed and hands-on, flexible in a dynamic environment, organized at task and project execution, strong familiarity with software tools (e.g. Gmail, Docs/Sheets, Slack, Canva), positive and professional, high discretion.
- Calendar Management - Coordinate internal and external meeting scheduling and requests, align all personal/social/business calendars, coordinate with other assistants as required.
- Household Coordination - Coordinate all residential property vendors, general contractors, and service providers,
- Set up and maintain systems for all household administration.
- Personal Support - Manage packages, returns, pickups, gifting, personal errands, self-care appointments, reservations and ordering, etc.
- Events - Plan, set-up, organize, and orchestrate invitations for small-to-medium scale events and dinners at the home and local venues, directly and with vendors.
- Expenses - Track expenses and bills, credit card reconciling, and coordination of regular reports with accounting partners. Create and follow budgets.
- Travel - Execute simple travel itineraries ensuring efficiency and comfort. Work with travel agency partner to support complex travel itineraries and fill in the gaps.
- Special Projects - Other ad-hoc projects and activities as required, informed by the candidate's interests and the family's ongoing activities.
- Self-directed and hands-on, flexible in a dynamic environment.
- Organized at task and project execution, for small and large scale projects.
- Strong familiarity with software tools (e.g. Gmail, Docs/Sheets, Slack, Canva),
- A key eye for interior design would be preferred.
- Household organization and process implementation for two households in Toronto and NYC
- Positive and professional, high levels of discretion.
- Experience as a personal assistant a definite asset.
- Willingness to perform personal administrative duties.
- Drivers license and CDN passport.
