Our client seeks a Permanent Part-Time Executive Assistant/Office Manager to provide a high level of confidential support to this UHNW High-Profile Entrepreneur with corporate duties and high-level Board of Directors interaction on a hybrid basis in their Mid-Town Offices.

Job Description


Our client seeks a Permanent Part-Time Executive Assistant/Office Manager to provide a high level of confidential support to this UHNW High-Profile Entrepreneur with corporate duties and high-level Board of Directors interaction on a hybrid basis in their Mid-Town Offices. Ensure that effective planning and administrative systems are in place and maintained efficiently and effectively. This includes calendar management, travel arrangements, and office administration.

Responsibilities

  • Organize, coordinate and manage the client’s calendar with scheduling meetings and video calls, in a proactive, professional and timely manner.
  • Interface with the multiple partner company offices around the world  
  • High level consumer insight research  
  • Presentation preparation
  • Basic Office tech support  
  • Arrange travel arrangements and car services for corporate travel
  • Overseeing all revenue and expenses, primary contact with building Mgt and services, accountants, office supplies.
  • Responsible for submitting receipts, bills and bank statements to accountants and printing select monthly cheques in office using Xero.  

Job Requirements

  • 10+ years of experience in an Executive Assistant capacity
  • Proficient in MS Office (Outlook, Word, Excel, and Power Point) and must be proficient in the use of technology.  
  • Experience with light financial duties ie. Xero Accounting Software a definite asset
  • Excellent communication skills.
  • Upbeat and positive attitude.
  • Exceptional time management and organizational abilities.
  • Must be willing to come into office one day a week, and can work remote other days (30 hrs/week)
  • Available for flexible hours and available via phone and email after hours and weekends if urgent
  • Designer office located mid-town, on the Yonge-subway line.
  • Underground parking will be provided if needed
  • Quiet office, only serving one business owner
