Our client is seeking an exceptional Executive Personal Assistant to provide dedicated and confidential support to their CEO who has been voted as an RBC Woman of Influence and one of Canada’s Top 100 Most Powerful Women 2023. The successful candidate will be a strategic partner, adept at managing the CEO's business and personal schedule, communications, and day-to-day activities. This role requires a high level of professionalism, discretion, and the ability to anticipate the needs of a dynamic executive and media personality.
- Proactively manage the CEO's multiple calendars (multiple sites, organizations, and media appearances), coordinating internal and external meetings, and ensuring optimal use of time.
- Anticipate scheduling conflicts and prioritize appointments based on strategic objectives.
- Serve as the primary point of contact for the CEO, screening and prioritizing emails and phone calls from internal and external stakeholders.
- Draft and edit communications on behalf of the CEO, maintaining a high standard of professionalism.
- Arrange complex travel itineraries, including international travel, ensuring efficiency and comfort.
- Prepare detailed travel itineraries and manage last-minute changes seamlessly.
- Handle sensitive information with the utmost confidentiality and discretion.
- Assist in the preparation of confidential documents, reports, and presentations.
- Coordinate logistics for board meetings, ensuring all necessary materials are prepared and distributed in advance.
- Facilitate communication with key stakeholders and external partners.
- Collaborate with the CEO on strategic projects, providing research and administrative support.
- Manage follow-ups and deadlines to ensure timely completion of key initiatives.
- Maintain and manage a well-organized and efficient executive office, handling administrative tasks to enhance productivity.
- Act as a liaison between the CEO and other departments, fostering effective communication.
- Proven experience supporting C-level executives and/or Entrepreneurs, preferably in a fast-paced corporate environment.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills with acute attention to detail.
- Ability to work autonomously, exercise sound judgment, and make decisions on behalf of the CEO.
- Proficiency in MS Office Suite and other relevant software.
- Discretion and the ability to handle highly confidential information.
- Flexibility to travel within the downtown core and North York (on occasion).
- Must have a valid drivers license.
- Willingness to perform administrative personal duties and adhoc projects
