The Executive/Personal Assistant will manage the day-to-day schedule of the CEO, a start-up based in Mid-Town Toronto. The successful candidate is an experienced EA/PA, extremely organized, detail-oriented, and a Rock Star at juggling between multiple priorities as they move quickly!
This role is on to make your own – you will be the right-hand of a successful serial entrepreneur. You will work remotely from your home office, but will be required to attend meetings and face-to-face sessions with the Executive one to two times per week if he is not travelling.
What your day-to-day will look like:
●Performing extensive calendar management for the CEO on all meetings
●Providing email support to the CEO by managing all inquiries and providing support on actionable items.
●Liaising with both internal and external stakeholders by acting as the first point of contact for business associates, vendors, and external stakeholders
●Preparing and compiling reports, briefing materials, and notes to ensure the CEO is up-to-speed for all meetings and conferences
●Composing, proofreading, and editing all written correspondence, agendas, and documents
●Booking all international travel arrangements and arranging travel schedules and logistics
●Assisting with other administrative and ad-hoc tasks as needed for the team
●Managing expenses, reconciliations, and other investments in Excel
●Have previous experience as an Executive/Personal Assistant supporting a senior leader in a fast-paced work environment.
●You are a self-starter and don’t need a lot of direction. You can think 3 steps ahead of the Executive, and set corresponding appointments and travel
●You have the confidence of an experienced Administrator who is able to execute using your judgement based on experience.
●You are a problem-solver and take the initiative to solve problems on your own
●Have superior communication and interpersonal skills; interacting with clients and negotiating with vendors is a must
●Have exceptional organizational and time management skills to deal with competing priorities
●Possess a high sense of urgency, and be highly resourceful to source appropriate vendors and supplies
●Ability to stay calm under pressure and ready to take on any challenge
●Demonstrate leadership and ownership to ensure nothing falls through the cracks
●Have a successful track record in keeping a high level of professionalism and confidentiality
●Are looking to take on more responsibility outside of the traditional EA/PA role and become a high impact part of a dynamic team.
