Our client is an entrepreneur, successful business owner, and investor, with offices and companies across SW Ontario. The CEO is currently seeking an Executive Personal Assistant to support him and his operations in Toronto (Richmond and Peter) - in office. The successful candidate will be an experienced Executive Assistant with sound judgment, discretion, flexibility, unrivaled organizational skills, tech savvy, and some marketing and event planning.

Job Description

  • Assist in the communication (verbal and written) with an extensive and growing network of CEO relationships, managing the CEO’s calendar, contacts, and team accordingly.
  • Manage and coordinate inbox, calendar, meeting logistics, internal and external communications, expenses
  • Manage the Toronto office and greeting visitors and meeting attendees
  • Research and organize of personal and business travel
  • Plan, coordinate and execute events as required (business and personal)
  • Organize and coordinate a variety of personal support tasks
  • Ensure effective planning and administrative systems are in place and maintained
  • Develop new systems for increased collaborative and administrative efficiencies
  • Proactively anticipate needs in preparations, activities and follow ups.
  • Effectively and appropriately interacts with others to build relationships, influence others, and facilitate the sharing of ideas and information.
  • Uses tact and diplomacy to navigate difficult situations.


Job Requirements

  • 5 years of relevant experience
  • Highly organized with excellent time management skills
  • Strong relationship builder
  • Great communicator - verbal and written
  • Proactive - anticipate needs and take actions to avoid problems and create opportunities
  • Problem solver - understand issues and bring resourceful thinking
  • Confidentiality - Demonstrate discretion and tact.
  • Technically savvy. Advanced knowledge of Office Suite and collaboration tools. Knowledge of Google Suite is an asset
  • Accurate, detail oriented and delivers trusted, top-quality material
  • Resourceful, self-motivated and enthusiastic
