Job Description

Our client is a leader in environmental and infrastructure projects in Canada.  They currently require an individual who is comfortable working with their Chief Legal Officer and Head of Infrastructure in a fast-paced environment in Mid-Town Toronto. This role is most suited to a career Executive Assistant who enjoys a fast pace in a document focused department. Your love of all things administrative will allow you to be successful in this vital role.

 

RESPONSIBILITIES:  


·Provide personal support to the Chief Legal Officer and interact with a cross section of internal and external stakeholders  

·Oversee email management and calendar with the highest levels of confidentiality

·Provide administrative assistance with document management and execution with high attention to detail

·Assist with external stakeholder initiatives as it relates to dealing with business partners, charities, high levels of government and potential acquisitions and mergers

·Conduct relevant research, manage and take responsibility for multiple ad hoc projects, including project status updates

·Prioritize time commitments and actionable items

·Coordinate, manage and arrange travel arrangements along with associated expense reports

·Compose and prepare internal/external correspondence in addition to maintaining, answering and routing correspondence  

·Maintain and upload relevant documents to Board portal

·Prioritize work by considering its risk, importance, urgency, and potential business, organizational, or corporate implications

·Maintain an effective database of key contacts

·Must be technically savvy, ensuring laptops and cell phones are meeting business needs

Job Requirements

·Minimum 8-10 years’ directly related work experience and training

·Hands on experience is with high level documents and contracts a definite asset

·Highly organized, meticulous and extremely detailed oriented with an ability to prioritize assigned duties

·Excellent verbal communication skills and telephone etiquette

·Must be available outside regular office hours to handle issues as they arise.

·A high level of confidentiality, discretion, loyalty and respect

·High attention to detail with excellent written and verbal communication skills

·Excels in team environments but able to work independently with exceptional time management skills

·Strong computer literacy with experience in the use of MS Office programs, project management tools with strong tech skills are a must.  

·Experience working with a Board portal is an asset
