The Executive Assistant will have a key role in providing confidential, operational and executive level support to members of the Office of the Senior Vice President and other members of the council. The incumbent will use well-developed organizational skills, sound judgement, discretion and resourcefulness to perform complex and sensitive office management related tasks in support of the Senior Vice-President in this dynamic academic environment.

Job Description

  • Manage portfolio budget and program expenses
  • Draft briefing notes, business cases, letters, memos and other correspondence as well as presentations based on information gathered from a variety of resources. Research and analyze information to prepare reports and communications.
  • Lead or participate as an active member on various committees and meetings
  • Serve as a liaison and point of contact for the offices of the Vice Presidents, including support for the departments that report to the Vice Presidents including drafting correspondence, manage and prioritize meetings and appointments, and proactively resolve scheduling conflicts.
  • Manage related projects and deliverables across the portfolio. Build administrative frameworks and solutions to meet business needs.
  • Track and prepare for upcoming deadlines, events, and agenda items that require action by the Vice President. Consult with internal and external sources to ensure the Vice Presidents is prepared for meetings and events.
  • Process creation for projects and development of administrative frameworks to support the work of the Office of the Sr. Vice President.
  • Responsible for critically assessing the level of detail and information captured in meeting and committee minutes and proactively ensuring that activities of the office are tracked, advanced and accurately and professionally administered.
  • Supervise an Administrative Assistant and delegate work to ensure efficient work flow in all assigned tasks.

Job Requirements

  • Good judgement in determining and developing administrative frameworks, solutions and workflow processes to support the administrative work of the Office of the Sr. Vice President and projects
  • Ability to propose approaches and processes for project work.
  • Must be able to determine office workflow and assign work to an Administrative Assistant.
  • The ability to make adjustments within the budget lines to align with spending.
  • Must be capable of drafting and sending communications to colleagues and stakeholders on behalf of the Sr. Vice President.
