Job Description

Our client is transforming health care for people living with rare diseases. They do this through implementing bold changes in a conservative industry. They set aligned goals with their customers and do everything in their power to achieve better outcomes for their patients and help deliver patient centred care. Customers have come to rely on them for getting the job done with great flexibility in demanding circumstances.  They are currently seeking an Executive Assistant to support an International Executive (C-Level) in their downtown Toronto offices for this on-site role.


In this high-visibility position of trust, you will support their CEO in his day-to-day activities and coordinate key aspects of various projects they are accountable for.

You will be mentored, coached and empowered to learn by doing. You will have the autonomy needed to be successful and experience diversity in your role, from handling day-to-day administrative tasks to creation and implementation of projects.



The work:

·Prepare CEO’s internal and external presentations and briefing reports

·Provide guidance and quality control of CEO’s materials prepared by other teams

·Work closely with the communications team to create various materials that will help build the personal brand of the CEO

·Manage CEO’s in-office schedule, coordination of meetings and townhalls.

·Manage all internal and external meetings of the CEO

·Coordinate CEO’s business travel itinerary and handle expense reports

·Act as a liaison between CEO’s office and various departments of the company

·Maintain company documentation, including legal contracts

·Accountable for the upkeep of the Head office facility, consistent with our principles

·Lead special strategic projects for the CEO and engage with global functions to execute relevant projects

·Coordinate the execution of the annual and quarterly companywide performance plan

·Lead contact for local IT and infrastructure performance in coordination with global IT team


Job Requirements

Qualities you’ll need:

·Resourceful, with “can-do” attitude who exhibits sound judgment with an ability to set priorities and make decisions

·Proficiency in Microsoft Office suite of products and cloud-based systems

·Exceptional writing, editing, and proofreading skills

·Excellent organization and time-management skills

·You’re good at communicating ideas and plans (in person and in writing)

·Spoken and written Business French

Experience that will be an asset:

·3-5 years of experience in working with international C-suite executives.

·Managing critical external stakeholder relations on behalf of your executive.

·Front and back-office management in high-end boutique firms or hospitality.

·You are good at contract negotiations and extracting value for the company.

·You are skilled in planning events and creating experiences.

·Proficiency in Microsoft Office suite of products and cloud-based systems.

·Exceptional writing, editing, and proofreading skills.

·Excellent organization, prioritization and time-management skills.
