The Executive Assistant will be the supportive force that will help organize, prioritize and manage the Marketing and Communication team’s administrative activities. Responsibilities include: Project management, calendar and meeting coordination, communication support and budget management. 

Job Description

The Executive Assistant will be the supportive force that will help organize, prioritize and manage the Marketing and Communication team’s administrative activities.  Responsibilities include:  Project management, calendar and meeting coordination, communication support and budget management.  


This position of Executive Assistant will report to the Senior Vice President, Marketing & Communications in the following capacities:


·Scheduling & Calendar Management: Act as an all-around gatekeeper and strategically organize meetings and events to align with to priorities, goals, and objectives.


·Planning & Executing Meetings: Setting up virtual and in-person team meetings, transcribing meeting minutes, sending out recaps and next step action items, and follow up on deliverables.


·Project Management: Help organize and execute a varying range of Marketing & Communications projects, ensuring cross functional stakeholders deliver on their contributions, on time and on budget.


·Budget Tracking & Management:  Prepare SVP expense reports, reconcile corporate credit card statements, process invoices, and track payments.


·Communication Support:   Prepare, draft, proofread and execute business correspondence. Collect and analyze data to create and update presentations and reports, including competitive tracking.

Job Requirements

  • Experience: 5+ years administrative experience supporting at the Director/ Executive level.  
  • Education: Bachelor’s degree preferred or relevant experience.   
  • Advanced Microsoft Outlook, Word, Excel and PowerPoint proficiency
  • Experience overseeing budgets and expenses
  • Marketing and Communications knowledge is an asset
  • Flexible, motivated and enthusiastic team player; loves a good challenge
  • Enjoys thinking ahead; anticipates requirements and takes the initiative to resolve in a timely manner.
  • Aptitude to learn new software and systems
  • Ability to exercise sound judgement and diplomacy
  • A robust sense of humour required – they are deadly serious about humour.
