They currently seek a Chief of Staff to support their Toronto team with a North American reach. The successful candidate will have great people and project management experience, strong organization skills, will enjoy leveraging technology to create efficient and effective processes, and is eager to grow with their expanding business. The candidate will interact directly with Firm leaders on a daily basis, and own all internal operations for firm, with specific focus on and responsibility for workflow planning, team resource allocations and firm-wide coordination.
Practice Management and Oversight:
·Oversee and direct the firm’s internal resources to ensure efficient and effective operations.
·Manage and support the firm’s internal committees in contributing to firm operations and growth
·Collaborate with Partners/Directors/Sales team on project proposals to determine budgets, timelines, and team requirements.
·Support research and development initiatives to continue growing the firm.
·Management and support in the recruiting of new team members.
·Support and manage the performance evaluation process on a semi-annual basis.
Workflow Planning and Management:
·Oversee and manage firm’s workflow planning system.
·Manage an active ‘project board’ including timelines, billing status and team hours budgets.
·Coordinate the allocation of a team of professionals for each client project .
·Execute project summaries and KPI’s upon engagement completion.
·Collaborate with the Sales Team to Manage and onboard new client contracts; create project plans, schedules, launch materials and set up initial client meeting.
·Close out completed client engagements; archive final reports and engagement summaries.
·Analyze project performance and recovery – Report on KPI’s and summarize areas for improvement.
·Communicate and report on project status and resource capacity.
·Create templates and archives for report deliverables, references, etc.
·Meet with the consulting team regularly to review workflow, recovery performance, capacity and collect feedback.
Billing Coordination and Support:
·Manage project billing summary. Communicate regularly with Partner and project leads to stay current on project status to ensure completeness of client billings.
·Client invoice management. Coordinate with Billing team to ensure invoices are prepared in an accurate and timely manner.
·5-7 years of relevant work experience. Professional services experience is an asset.
·High functioning and organized professional with experience managing project teams.
·Strong verbal and written communication skills.
·Proven problem-solving skillset with ability to manage multiple projects simultaneously.
·Knowledge of project management methodologies and best practices.
·Strong interpersonal and team leadership skills.
·Time-management skills and experience working in fast paced environment.
·Proficiency in Microsoft Office tools.
·Proficiency in project management tools.
·A specialty focus in project management is asset.
