Job Description

Responsibilities:

  • Provide comprehensive administrative support to Executive Producers.
  • Calendar management, staff vacation tracking, and meeting coordination.
  • Email correspondence/triage and prioritization.
  • Personal and business travel arrangements.
  • Assisting executive producers with general accounting (being a point person for accounts payable and receivable, reconciliations, and expense tracking- (essentially data entry and communication with vendors).
  • Support various ad-hoc projects and assignments as needed, demonstrating flexibility and adaptability in a fast-paced environment.
  • Assist with some personal tasks, such as managing personal appointments, travel arrangements, events, running occasional errands.

Job Requirements

  • 2 plus years of previous experience in executive assistance, or personal assistance roles, assistance with general accounting would be a bonus
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • ·Strong attention to detail and accuracy in financial record-keeping.
  • Exceptional verbal and written communication skills, including professional phone etiquette.
  • Proactive problem-solving abilities and the capacity to handle confidential information with utmost discretion.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in accounting software and tools for bookkeeping tasks (Dext, Plooto, QBO) would be a bonus
  • A positive attitude, a proactive approach, and the ability to work both independently and collaboratively.
