The Administrative Assistant will provide high level support for the Executives. The successful candidate will have excellent written and oral communication skills, ability to multi-task and prioritize multiple and competing demands, experience coordinating calendars and travel, and the ability to anticipate issues and effectively problem solve.
·Coordinate and screen incoming calls, correspondence and meetings for the Executives and respond independently when possible.
·Coordinate and arrange internal and external meetings, and executive travel.
·Proofread and edit documents, draft cover letters and correspondence.
·Process and reconcile expense reports.
·Handle confidential details with discretion and perform, monitor and complete administrative projects and functions.
·Maintain internal and external communication and workflow.
·Assist with other special projects, tasks, and/or support as assigned.
·Consistently evaluate internal administrative processes for opportunities to improve efficiency and implement problem-solving techniques to resolve administrative challenges.
·Manage the execution and routing of documents and agreements.
·2+ years of administrative experience
·University Degree required or equivalent combination of education and experience.
·Strong organizational skills and excellent grammar and proofreading skills.
·Outstanding communication (both written and verbal) and professional phone demeanor.
·High degree of attention to detail and confidentiality.
·Recognition of organizational policies, procedures, and office management techniques.
·Proficient in varying computer systems and applications including MS Office Products (Outlook, Word, Excel, PowerPoint), adobe (asset), and familiarity with electronic document management systems.
·Ability to apply policies and procedures to solve everyday issues.
·Capacity to multi-task and balance competing priorities, exercise initiative, problem-solving, and decision-making skills.
·Effective organizational skills to establish priorities and coordinate work activities.
·Ability to work in conjunction with the various departments and business units.
·Familiarity with writing routine correspondence.
·Ability to speak effectively and confidently.
