Our client is a boutique financial services firm that caters to an elite clientele located in downtown Toronto. They are currently looking for an administration manager to join our team. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. The administration manager would be directly reporting to the managing partner as well as supporting our partners and managers.

Job Description

Our client is a boutique financial services firm that caters to an elite clientele located in downtown Toronto. They are currently looking for an administration manager to join our team. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. The administration manager would be directly reporting to the managing partner as well as supporting our partners and managers.


Role and Responsibilities:


·Office management and directing administrative staff

·Co-ordination with IT support provider, HR provider, building management/facilities, and suppliers

·Prepare client invoicing, correspondence for collections.

·Track vacation, personal care days, hourly payroll and prepare bi-monthly report

·Prepare management and partner reports (for collections and work-in-process for billing)

·Actively involved in firm committee organizations (IT, HR, Quality)

·Banking deposit responsibility

·Manage office calendar, boardrooms, conference call and online meetings (Teams, Zoom)

·Build effective relationships with the administration team and act as a liaison with the Partnership

·Monitor office supplies and vendors

·Coordinate courier orders

·Preparing and formatting documents

·Facilities management when required for offices in a tower in the downtown core

Job Requirements

·Attention to detail and sound financial aptitude

·Ability to work under pressure and meet deadlines in peak times

·Proficiency in MS Office Suite

·Able to provide excellent customer service to elite clients

·Professional and friendly attitude with a willingness to collaborate with other team members

·Demonstrate professionalism, discretion, and judgement with HNW clients and celebrities.

·Communicate effectively in both written and spoken interactions with internal and external stakeholders.

·Solve problems in a timely fashion.

·Demonstrate effective organizational and resource management skills.
